5 Things They Don't Tell You When You Buy A New Copier

The copier industry is all about introducing new copiers.  Oftentimes, a copier might even be updated or replaced in a manufacturer's product line more than once a year, bypassing the hundreds of thousands of used copiers such as used Xerox or Canon copiers freely available on the open market.  Why does the copier industry do this, pushing new models when there are plenty of service able used copiers?  We'll address why these manufacturers of monochrome and color copiers do this in the remainder of this article below.


1. Manufacturers Don't Make Money on Used Copiers
The truth is, manufacturers simply don't make any money on used copiers. They might make money off of toner or ink cartridges for the used machines, but there is no money for manufacturers in the market exchange of used copiers.  This cuts into the manufacturer's bottom line, which is why manufacturers are happy to push newer models as an alternative to used copiers.  Whether HP, Lexmark, Xerox, Brother, or even Canon copiers, these manufacturers don't make money selling used copiers.


2. New Copiers Are Not Better Than Used Copiers

One great rule of thumb is to calculate the replacement cost of your toner or ink cartridges, plus the costs of replacing the drum and any other essential supplies over a two to three year period and compare between manufacturers. 5. New Copiers Lose Value the Moment they're Purchased
Copiers, like cars, lose value the moment they're purchased.  Unless you can return it to the manufacturer or to a store and get your money back, you're going to be stuck with a copier that has depreciated in value by 25% to 50% the moment you use it for the first time.  This is why purchasing used copiers, or opting for copier leasing options makes sense.

Replacing Your Printer Cartridge

No matter how good your printer is there is one thing it will always need to work properly: toner.  The toner in your printer is stored in a specially designed printer cartridge and when the toner runs out this printer cartridge must be replaced.  Printer cartridges can vary widely in price but fortunately you have many options to choose from.


OEM Printer Cartridge
More likely than not when you first purchased your printer it came with a specially designed printer cartridge manufactured by the same company that built your printer.  Every printer is different and thus the cartridge needs will always vary.  Printer cartridges manufactured by the same company as those who built the printer are referred to as OEM or Original Equipment Manufacturer.  Sometimes they are also referred to as Genuine OEM.

There are some advantages to replacing your toner with an OEM printer cartridge.  You will be sure that the cartridge will fit your model printer, as well as be sure of the quality. Unfortunately there is also a heavy price to pay with OEM printer cartridges, as OEM toner is usually fairly expensive.  If price is a concern there are other options as well.

Compatible Printer Cartridge
Your new printer cartridge does not necessarily need to be manufactured by the original printer manufacturer in order to work.  There are several companies out there that specialize in making compatible printer cartridges, that is, cartridges which are compatible with a number of different printer types from different companies.

The main advantage of a compatible printer cartridge is that it will be somewhat cheaper in price.  They can often run for as much as ½ the price of its OEM counterpart.  Most compatible printer cartridges will work just fine with your printer, however in rare instances a compatibility problem might arise.  Generally they are manufactured roughly the same as the original OEM printer cartridge, only it is manufactured by a different company.

Remanufactured Printer Cartridge
The last option for buying a replacement printer cartridge is to buy it remanufactured.  This is something made available by a number of companies in the business of recycling printer cartridges.  They take the old cartridges and rebuild them, as well as replacing the toner. Both OEM and compatible printer cartridges can be recycled and remanufactured, and will vary in price depending on the price of the original cartridge.

Remanufactured printer cartridges are popular not only because they are a cheaper alternative than OEM, but also because they are more environmentally friendly.  It cuts down on the need for new cartridges to be manufactured, as well as cutting down on the number of discarded cartridges taking up space in landfills.

The Final Step

Once you have purchased your replacement printer cartridge (or refilled your old one) it is time to put it back into your printer. Most printers will have instructions printed right on them for how to replace the printer cartridge, or you might need to consult the manual. Once your new cartridge is in you are ready to start printing again!

Workings Of Laser Printers

Laser Printers are commonly used printers that are known for its rapid printing abilities.  The other marked feature of a laser printer is the high quality text and graphics printing.  It works basically on the principle of the xerographic printing process.  However, it is different from the analog photocopying machines in which the image produced is the result of direct scan of a laser beam on the photoreceptor of the printer.

Using a laser printer has a number of advantages over any other types of printers available. The speed of a laser printer varies from one model to another as it depends on a number of factors like the graphic intensity required in processing the job and others.  The latest models of laser printers can print more than 200 single monochrome pages in one minute, which is more than 12 thousand pages in an hour!  The color laser printers are relatively slower, but even they can print at more than 100 pages per minute.  The high speed laser printers are generally used for printing of mass mailings like utility or credit card bills etc.

The cost incurred in using the laser printing technology is dependent on more than one feature such as the cost of the toner, paper, once in a while replacement of the drum, and change required in other consumable parts of the printer like paper feed system rollers, the transfer assembly and the fuser assembly.  Laser printers having drums made of soft plastic can be costlier in the long run than one can comprehend; its high overall cost becomes apparent only when the printer requires a drum replacement.

Another feature in the family of laser printers is the duplexing model.  This allows printing on both sides of a paper without the need to remove the paper at all.  This technology can cut paper cost directly into half and also lessen the filling volumes.  Formerly, the duplexing technology was available only on the high-end laser printers.  However, now they can be seen on a number of mid-range office laser printers. Although, the duplexing technology can reduce the printing speed to some extent as the paper path length increases.

The dot-matrix and inkjet printers take the incoming spooled data for the printer and directly print that on the paper making it a slow process which can stop as soon as the printer is waiting for more data.  On the other hand, a laser printer cannot work this way, the reason being the large amount of data required to output to the printer in a continuous fashion.  The printer cannot wait for data arrival and if that happens, there can be gaps and misalignment on the page.

To take care of the above problem, a printer buffer is used.  The data is built up and kept in the large printer buffer that is generally present in the printer.  This data bank is large enough to account for every single dot that can be printed on a page.  However, this requirement of storing the dots in the memory before printing can begin which has limited the printing capability of laser printers to small size like 8.5x11 or 8.5x14.  Most laser printer cannot print long banners as there is no memory to hold that amount of data.

The printing takes place in seven steps. A Raster Image Processor scans the entire page line by line and stores a bitmap of the page in the raster memory. The drum is then charged negatively and the bitmap is written on the photosensitive drum using a laser beam whose functionality is dependent on the bitmap image. The charged toner particles are charged negatively and wherever the laser has not discharged the drum, the charges will repel and printing won`t take place, hence creating the required print out. The toner contains a plastic powder that is attracted to the parts where the laser beam hit and in the end the plastic powder is fused at 200 degree Celsius to bond the ink with the paper.

How to Select the Best Laser Printer

Before determining the best laser printer that is suitable for your needs, the first thing you should do is understand the basic knowledge about the printers.  


Printers have two ways to produce a picture; an inkjet printer produces a picture by spraying very small dots of ink onto the paper while a laser printing device produces a picture by throwing powdered ink to paper which is then electrically charged to drum for the image to transfer to.  If you have needs to print more photos or graphics and less text-based documents, you might be better off to buy an inkjet printer.  If you have needs to print many text-based documents, a laser printer will be the best choice for you.

Types of Fax Machines

Fax machines are devices that copy data that is wired.  It also acts as a duplicator that is used to copy the incoming data onto paper.  Fax machines are very important in this modern and fast paced life where everything is depended upon time.  This saves time, as it is an electronic device and transmits data at a very fast speed.

Laser printers are fit for an office environment and places where a high flow of incoming and outgoing faxes are expected.  These are heavy duty machines and do a good job typing out the matter neatly and clearly.  They are also very fast and so there is no need to wait in queue to send or receive a fax!  The Laser fax machines use a light emitting diode or an LED, which is very reliable and is definitely long lasting.  They are however, expensive when compared to the inkjet and thermal, but looking at the performance, they are definitely worth the cost.  The quality of the images and letters produced is also high.

Thermal transfer fax machine is the third type that uses heat to transmit the ink from a ribbon in the machine, onto the plain paper.  They are reliable and also inexpensive, but the quality is not as good as the others.  Also the whole operation is a noisy affair.  This is mostly used in home-office set ups than in big business and office set ups.

The Fax machine is quite a useful device and can be expensive as well.  It is therefore necessary to take care of it well, always.  Also, before buying the machine, it is necessary to thoroughly analysis  what is the need and type of fax machine to be bought, in order to buy the effective and correct performance machine.

Selling Points For a Copier

Copier sales might be seeing a slight decrease because a lot of businesses today are opting to not buy a copier and to simply purchase copies from a store whenever they need them, but is this really the more efficient option?  For businesses that need to make lots of quality copies on a daily basis, it's a wiser choice to purchase a quality copier for themselves.

Which Printer? Right Technology, Right Choice

Whether you are responsible for a small home-based business, or a large company with many departments and workgroups, there are continuous choices to be made on the procurement of office equipment.  Not least amongst these, is the selection of the appropriate printer technology for your business needs?  Here in outline are the various technologies and their appropriate environment.


Personal Ink-Jets
Useful for one individual or a workgroup with a minimal color printing needs, a low-cost personal ink-jet will be the best choice.  Personal inkjet printers offer a low initial cost, plus the flexibility to print on a variety of media, such as promotional materials.

Business Ink-Jets
In a bigger business environment, or one where color output is a major requirement, the workload is likely to be too great for a personal inkjet printer.  Thus a unit designed specifically for business will fit the bill, offering a lower cost per page.  Many business inkjets employ ink-saving technology and modular cartridges, which avoid the need to change the color when you change the black and white cartridges, for example.

Laser Printers
Large companies demand more output of all kinds. Perhaps also the demand for color output on standard-size paper may be addressed with a laser printer

Laser printers have invariably offered monochrome output in the past, but more and more color-capable lasers are coming onto the market. For organizations with a heavy black-only output though, they still offer the lowest cost of monochrome printing, as opposed to ink-jets which offer a lower cost for color output.  Even so, the picture is changing, and there are some surprisingly low-cost color lasers available today.

Large or Wide Format Printers
Design work or over-size documents for displays require a special kind of printer - a large format printer capable of printing on very large paper (or other media) sheets.  Factors to consider here are quality of output, color capability, speed, networking capability and additional functions such as scanning and copying.

Photo Printers
A photo printer is essentially a personal color ink-jet with a higher capability for printing on special photo paper.  Naturally useful in the home, such printers have their use in the business environment - for example when there is a need to include quality photos in presentation packs for marketing purposes, or for use in training materials.

Business Color or Full Color?
For businesses requiring mission-critical exact color reproduction (such as in the preparation of color proofs, for example), then it is important to differentiate between machine which offer Black and Business Color as opposed to the higher quality Full Color specification.

Multifunction Printers or MFPs
The Multifunctional, All-in-One device combines print,copier, scanner and fax capability in a single machine. Impact Printers
Rarer these days, but it is still possible to buy dot-matrix and even daisywheel devices for specialist impact applications, for example for such as multiple-copy form printing.  Such printers tend to be more expensive, robust and bulky than the ink-jets and laser printers in more common use.  Impact printers by definition are also much noisier in use.

Other factors - Stand-alone or Networked?
If you plan to share the printer in a workgroup on your office network, then network-ready functionality must be specified.

Speed of Operation
Businesses with a heavy output, or with a plan to share the printer among several users, a faster printer is important - and one that will avoid forcing staff to wait for printouts to get through the queue.  Any shared printer is also likely to be networked so the network speed in the office is also a factor

Cost Considerations
In additional to the initial purchase cost, there is of course the cost of consumables such as ink cartridges and toner which also require budgeting.  The twin costs of initial purchase (or lease) plus consumables and maintenance are defined as the Total Cost of Ownership, and requires a careful projection of costs over the life-cycle of the equipment.

Support and Supplier Backup
All printers come with a basic warranty or guarantee that entitles the purchaser up to one year return to base servicing and repairs.  It is wise and useful to arrange additional cover and a service plan to suit the capacity and work-expectations of the printer.
